STAFF POSITIONS

Admissions Officer - Full Time

Under the direction of the Director of Enrollment Services, this position is responsible for developing, coordinating and ensuring the successful transition of prospective students to and through Quincy College.  The Admissions Officer will represent the college to prospective students, their families, school guidance counselors and other constituents about admission to Quincy College.  The Admissions Officer will also provide transfer guidance to four year schools with which Quincy College has agreements. Primary duties include but are not limited to:

  • Promptly and courteously responds to phone calls, emails, and other requests from students, their families and other constituents;
  • Schedules appointments to meet with prospective and current students to provide information about the college and address their issues and concerns;
  • Conducts visits to high schools to promote Quincy College;
  • Creates/maintains a database of all inquiries;
  • Establishes relationships with school guidance counselors, business community and city and state officials to promote and market Quincy College;
  • Manages mailings to prospective and current students;
  • Assists in maintenance of records in the Admissions Office including admissions and advising information;
  • Assists in admissions correspondence (both incoming and outgoing), including but not limited to, catalogs, bulletins, acceptance letters and requests for additional information;
  • Assists students in advising them in selection of courses, major and the degree completion process;
  • Is thoroughly familiar with all college programs and articulation agreements;

Life Balance Coach - Part Time

Life-Balance Coaches will assist in maximizing the academic potential of students who are participating in career and technical training programs. The incumbent will be responsible for conducting intake assessments, facilitating ongoing educational and life-planning sessions, organizing workshops, tracking student performance and services, attending monthly compliance meetings with partnering organizations, and providing referrals for services based on individualized needs. This position reports to the Dean of Enrollment Services, while also interfacing with other Life-Balance Coaches/Counselors in Enrollment Services; the position will be split between our Quincy and Plymouth campuses. This position is funded under the Perkins grant and continuation of the position is subject to the availability of funds.

Educational Criteria:  Bachelor’s degree in social work, counseling, counseling/psychology, disability services, college student personnel or a related field with significant coursework in counseling; Master’s degree preferred.

Qualifications:

Experience counseling youth from disadvantaged backgrounds in an academic environment;  must be committed to meeting the needs of both disadvantaged and culturally-diverse populations.  Higher Education experience helpful.

Financial Aid Staff Assistant (Part-Time)

Under the direction of the Executive Director of Financial Aid and working with other members of the Financial Aid Office,  the Staff Assistant will be responsible for reviewing documents received by students to complete financial aid files and prepare them for final awarding by the Executive Director/Associate Director.  The Staff Assistant may serve on college committees and teams and will often be the responsible party for specialized projects.  The Staff Assistant will also work directly with our student population, assisting with all Financial Aid Office-related issues and counseling students and parents.  The Staff Assistant may also be asked to complete other duties as assigned by the Executive Director of Financial Aid.  The Staff Assistant will  coordinate mailings for the department and direct work study students in the absence of the Associate Director. Primary duties include but are not limited to:

  • Completing review process for all files for final awarding by Director and Associate Director;
  • Reviewing ISIRs, including:
  • preparing Missing Document Letters;

  • determining what documents are necessary to complete each individual file for each academic year according to comments and information received on electronic student aid report (ISIR);

  • entering appropriate codes into AS400 for each student so that letters will generate to notify students of necessary documents resolving “C” comments;

  • requesting additional information from various agencies such as Department of Homeland Security, Social Security Administration, Selective Service, etc. to verify and/or confirm information submitted by the student on the FAFSA form resolving all conflicting file information;

  • determining when and what information is necessary to ensure accuracy of student information submitted on FAFSA when the ISIR does not make sense or an error comment is generated, completing the verification process;

  • reviewing all requested items submitted by the student/parent and comparing this information with information reported on the FAFSA;

  • making the appropriate corrections as necessary when information is found to be incorrect per the submitted documents;

  • Completing requests for information from students and agencies including:
  • EDU Income Forms for Welfare;

  • Information Exchange Forms for Mass Rehab;

  • Letters for students as needed with regard to financial aid information;

  • Issuing book vouchers, including calculating amount  of student book vouchers according to amount of tuition relative to financial aid award;
  • Coordinating work study assignments and other projects, prioritizing work study duties according to office work load;
  • Participating in Financial Aid Workshops/Information Sessions;
  •  Participating in College wide activities including Open House, Orientation, Honors Banquet, and Commencement, etc.;
  • Providing quality customer service including:
  • Walk-in inquiries;

  • Telephone inquires;

  • Counseling students and parents; assisting them with FAFSA and Loan Applications.

Educational Criteria: Bachelor’s Degree required.

Grant Writer - Part Time

Under the direction of the Vice President, Academic Affairs, The Grant Writer is responsible for researching and identifying grant funding opportunities, developing and submitting grant funding applications/proposals, and managing grant/grant monies once a grant is awarded.  The Grant Writer works in collaboration with Faculty and Administrators to identify grant needs/opportunities across Quincy College and trains Faculty and Administrators as necessary to assist in the development of proposals/submissions.  The Grant Writer stays abreast of laws, regulations, and changing/evolving grant requirements.

Director of Student Accounts - Full Time

Under the direction of the Senior Director, Finance and Accounting, the Director of Student Accounts is responsible for the complete oversight of all aspects of student accounting operations in accordance with generally accepted accounting principles as well as having hands-on processing responsibilities to effectively manage student accounts.  This position entails some evening hours.

Administrative Assistant (Staff Specialist) - Full Time

This position supports both the Dean of Liberal Arts and the Director of Student Affairs at the North Quincy campus.  Under the direction of the Dean of Liberal Arts and the Director of Student Affairs, the Administrative Assistant serves as the primary administrative support to both groups.   Essential responsibilities include, but are not limited to:

  • Respond to faculty, student, and public inquiries accurately, promptly, and courteously;

  • Assist with the administrative aspects of the hiring of adjunct faculty through scheduling of appointments, follow-up correspondence, maintaining files, preparation and processing of contracts and payroll authorizations, and other duties as appropriate;

  • Maintain an up-to-date faculty database, keeping current files for course materials in Liberal Arts, collecting and maintaining files for course syllabi, assessments, and related material;

  • Oversee the textbook adoption process, serve as the liaison with publishers and the college bookstore, order course texts, and distribute texts to faculty;

  • Assist the Dean with adjunct faculty handbook updates and oversee handbook distribution at the beginning of each semester;

  • Collect and maintain current course curriculum materials and provide the Dean and faculty with resources that support curriculum development;

  • Assist the Dean and Director in organizing and preparing their annual budgets;

  • Assist the Dean and the Director with the ordering and monitoring of instructional and office supplies;

  • Oversee the class list distribution and collection process and work closely with Enrollment Services to reconcile discrepancies;

  • Maintain, through familiarity with College programs and course offerings, schedules, policies, procedures, regulations, and practices;

  • Provide administrative support for the Student Affairs office, including typing, editing, and proofing promotional content and other correspondence;

  • Assist the Dean and Director with calendar maintenance (scheduling appointments and meetings) and duplicating/distributing materials as needed;

  • Assist with the coordination of major Student Affairs Office events and programs, including reserving rooms, ordering AV equipment, and coordinating catering when needed;

Human Resources/Payroll Coordinator - Full Time

Under the direction of the Director of Human Resources, the hands-on Human Resources/Payroll Coordinator assists in all areas of Human Resources operations.  The Human Resources/Payroll Coordinator is primarily responsible for College Payroll processing and interfacing with the City of Quincy, and accurate and timely recording and maintenance of all employee data and records.  The Human Resources/Payroll Coordinator maintains a high level of confidentiality, processes all front-end aspects of the payroll operation, ensures a high level of data and system integrity, and delivers top quality customer service to the college community.  Primary duties include but are not limited to:

  • Verifying, processing, and accurately keying all personnel action forms, change authorization forms and time sheets;

  • Accurate and timely calculation, processing and distribution of payrolls including execution of payroll changes, master file revisions, manual entries, pro-rated payments, tax computations and benefit deductions on an in-house payroll system;

  • Processing payrolls including pay, employee status changes, benefit deductions, levy/garnishments, taxable fringe benefits, vacation and sick time balance tracking, etc.

  • Maintaining employee files reflecting all payroll updates/changes and audit employee files for changes;

  • Maintaining the flow of documentation for payroll changes including clear and open communication with internal departments to improve on accuracy and timeliness of payroll changes;

  • Fielding and responding to employee inquiries regarding pay calculations;

  • Reviewing and accurately processing all accruals;

  • Assisting in preparing regular and timely reports (gross payroll, hours worked, vacation accrual, tax deductions, benefit deductions, etc.) for management;

  • Facilitating management and employee understanding of payroll procedures;

  • Collecting, analyzing, preparing, inputting, and processing payroll data in an automated system to produce accurate and timely payroll;

  • Ensuring compliance with all internal policies and procedures;

  • Ensuring compliance with all applicable state and federal wage and hour laws;

  • Investigating and making recommendations and resolving issues around payroll. 

  • Counseling employees on benefits and assisting with new employee orientations;

  • Investigating, making recommendations and resolving issues around benefits and general employee inquiries;

Educational Criteria:  Associate’s degree from an accredited institution with a minimum of four (4) years direct experience required (see below), or Bachelor’s degree  with minimum of two (2) years direct experience required (see below); concentration in Human Resources, Business or Finance preferred.

Qualifications: 

  • Minimum of two (2) to four (4) years experience in Human Resources field with a minimum of two (2) years successful hands-on payroll processing experience required;

Resource Officer - Part Time

Under the direction of the Executive Director, Facilities and Security, the Resource Officer’s primary responsibility is to serve and protect the students, faculty, staff and visitors of Quincy College.  Quincy College values the importance of environmental health and safety campus-wide.  Working in tandem with other Facilities and Security personnel, the College Resource Officer acts as the Security Officer for the College and provides a wide range of administrative and direct support to the campus community.  As part of a comprehensive commitment to buildings and grounds, as well as safety, the Resource Officer assists in maintenance and public safety matters as they arise.  Essential duties include, but are not limited to:

  • Opening and securing campus buildings as directed;

  • Maintaining inventory and building controls;

Assistant Director of Plymouth Campus Services - Part Time (20 hrs. per week) - Benefit Eligible

Under the direction of the Dean, Plymouth Campus the Assistant Director of Plymouth Campus Services is primarily responsible for assists in managing the admissions, enrollment and day-to-day operations of the Plymouth Campus, including but not limited:  to the supervision of staff, manage enrollment registration process, recruitment of students, managing student tracking system, advising students, and coordinating all aspects of the admissions. This position will act as a team leader focusing on and modeling the provision of quality customer service and the facilitation of teamwork, and will oversee the front desk activities and staffing. This position is responsible for increasing the standard of student satisfaction and for building effective partnerships with other college offices to increase the quality of services provided.  Occasional local travel required.  Primary duties include, but not limited to:

  • Oversees recruitment and admissions for students entering associate and certificate programs.

  • Partners with the Dean and other college team members effectively.

Nursing Coordinator, Plymouth Campus - Full Time

The Site Coordinator is first, a member of the Quincy College Faculty and secondly, a member of the Faculty of the School of Allied Health. In addition to faculty responsibilities, the Site Coordinator assists in the overall operations of the Nursing Program at the campus to which he/she is assigned. The Site Coordinator is expected to maintain a high level of performance in the position, increase competence in his/her managerial role through continued professional development, and carry out such job related duties as may be assigned by the Program Coordinator or Chair. Duties, which may be assigned, are consistent with conditions set forth in the Quincy Educational Association Agreement for the Chair(s) or Coordinator(s) in the Nursing Programs.

The Site Coordinator assumes managerial oversight of all aspects of the nursing program at the assigned campus to assure quality of the educational offerings. In addition to managerial responsibilities, the Site Coordinator assumes a teaching load. Due to the nature of course offerings within the Nursing Programs the Site Coordinator works an extended work year (forty-eight weeks) for additional compensation.  Essential responsibilities include, but are not limited to:

  • Works with the Dean(s), nursing Coordinator and Chair(s) to implement day-to-day operations of the Nursing Program at the assigned campus;

  • Assumes teaching responsibilities for content in appropriate courses;

  • Maintains collaborative relationships with college personnel both within and outside of the School of Allied Health;

  • Collaborates with the Coordinator and Chair(s), participate in the recruitment of program faculty;

  • Collaborates with the Chair(s), and Coordinator, provide direction for faculty in the development, implementation and evaluation of Program curriculum;

  • Collaborates with the Coordinator and Chair(s), orient new Adjunct faculty to their role and job responsibilities and assist current faculty to identify and meet their professional development needs;

  • Collaborates with program faculty, recommend to the Coordinator and Chair(s), appropriate items for inclusion in the Program’s annual budget;

  • Collaborates with the Coordinator and Chair(s), prepare and maintain appropriate documentation and reports of nursing program activities for internal and/or external use;

  • Participates with other members of the teaching team in the planning, organizing, implementing and evaluation of nursing courses;

  • Participates with other members of the teaching team in the annual review or revision of course outlines, bibliographies, study guides, media and other related course materials;

  • Recommends to the Coordinator and Dean, class and clinical schedules at the assigned campus;

  • Maintains class and clinical records for all students at the assigned campus;

  • Participates in student recruitment activities on behalf of Quincy College and the Nursing Programs for the assigned campus;

  • Serves on nursing organization committees;

  • Attends departmental and campus meetings;
